1. Purpose and Scope

This Privacy Policy explains how trcription.com collects, uses, stores, transfers and protects personal data when users access the website, create an account, upload files, use transcription and related functions, purchase tokens or contact support.

This Policy applies to visitors, registered users, customers, business representatives and other persons whose personal data is processed in connection with the Service.

2. Categories of Data Processed

• Account data: email address, name if provided, password hash, language, country, account settings and identifiers;
• Authentication and security data: login events, IP address, device data, browser data, session tokens, two-factor authentication data where enabled and security logs;
• Uploaded and operational data: audio, video, text, files, metadata, selected languages, processing settings, prompts, generated transcripts, captions, summaries and output files;
• Payment data: payment status, transaction identifiers, amount, currency, date, plan, token package, limited masked payment details, invoices, refund and chargeback data;
• Technical and cookie data: IP address, user agent, device type, operating system, cookies, local storage identifiers, analytics events and usage telemetry;
• Communications data: support requests, email correspondence, feedback, marketing preferences and consent/withdrawal records.

3. Purposes of Processing

• providing, maintaining and improving the Service;
• creating and managing user accounts;
• processing uploaded files and generating outputs requested by the user;
• processing payments, tokens, invoices, refunds, chargebacks and accounting records;
• responding to support requests and service communications;
• detecting fraud, abuse, security incidents and prohibited use;
• complying with legal, tax, accounting and regulatory obligations;

4. Legal Grounds for Processing

Depending on the user’s location and the type of data, processing may be based on performance of a contract, legitimate interests, consent, compliance with legal obligations, protection of rights and safety or another lawful basis recognized by applicable law.

Where processing is based on consent, the user may withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.

5. Uploaded Files and Generated Outputs

Uploaded files and generated outputs are processed for the purpose of providing the requested functions. The user is responsible for ensuring that the uploaded content is lawful and that all required notices, consents and permissions have been obtained.

The Operator may use temporary technical processing, automated models, storage systems and service providers to process files and create outputs. Access to uploaded content is limited to authorized purposes such as service delivery, troubleshooting, security, abuse prevention and legal compliance.

6. Data Retention Periods

Personal data is retained only for as long as necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law.

• Account data is generally retained while the account remains active and for a reasonable period after closure where needed for security, legal or dispute-resolution purposes;
• Uploaded files and generated outputs may be retained according to the user’s plan, account settings, technical storage limits or deletion request, unless legal retention is required;
• Payment, invoice, refund and tax records may be retained for the period required by accounting, tax, audit and legal obligations;
• Security logs may be retained for a limited period necessary to detect abuse, investigate incidents and protect the Service;
• Support correspondence may be retained for customer service, quality, dispute-resolution and legal purposes.

7. User Rights

Subject to applicable law, the user may have the right to request access to personal data, correction of inaccurate data, deletion, restriction of processing, objection to processing, data portability, withdrawal of consent and the right to lodge a complaint with a competent supervisory authority.

No online service can guarantee absolute security. The user must keep account credentials confidential and promptly report suspected unauthorized access to info@trcription.com.

12. Deletion Procedure

The user may request deletion of their account, uploaded files or personal data by contacting support at info@trcription.com or using account tools where available.

The Operator may retain certain data after a deletion request where necessary to comply with legal obligations, resolve disputes, prevent fraud, enforce agreements, maintain security, complete transactions or protect legal rights.

Deletion of data may be irreversible and may prevent continued use of the Service, access to outputs, payment history or unused tokens.

13. Marketing Communications

Where permitted by law, the Operator may send service news, product updates, offers and marketing communications. Users may unsubscribe from marketing communications by using the unsubscribe link or contacting support.

Transactional and service-related notices, including account, payment, security and legal notices, may still be sent where necessary.

14. Children’s Privacy

The Service is not intended for persons under 18 years of age. The Operator does not knowingly collect personal data from minors. If the Operator becomes aware that a minor has provided personal data, appropriate steps may be taken to delete such data or restrict the account.

15. Changes to this Policy
